THE NEIGHBORHOODS AT WOODLAND POND HOMEOWNERS ASSOCIATION BOARD OF DIRECTORS MEETING MINUTES January 23, 2025 1. The Board Meeting was called to order at 6:01pm. Board Members present were: James Hulbert, Stephen Dacey, Claude Lemieux, Ashley Prindle, and Missy German. Present from Evergreen Management was Pauline Martin, Association Manager. 2. Management Report: 2.1.The next meeting will be determined at a future date. 2.2.Meeting Minutes: The September 16, 2024, Meeting Minutes were approved and ratified by the Board. 2.3.The financial statements for September thru December 2024 were approved and ratified unanimously by the Board. 3. New Business/Updates: 3.1 The Board reviewed the 3 Clubhouse cleaning quotes. The quotes ranged from $11,420 to $32,364. The 2025 Clubhouse cleaning budget is $11,200, which is what the current vendor, Neat NH Cleaning, charges. After discussion, the Board agreed to stay with Neat NH Cleaning, however the cleaner will need to check-off a cleaning checklist and to record the time of arrival and departure for each visit. 3.2 The Board reviewed the two proposals received for replastering the pool from Sterling Pool and Aquatime Pools & Spas. The proposal from Sterling Pool provided additional services and the Board agreed to proceed with the proposal from Sterling Pool in the amount of $65,000. The pool will be prepped to be tiled and coping to be replaced and resurfaced, including new main drains and new tile trim, steps with demarcation lines, and water will be trucked in to refill the pool. The work is anticipated to begin in April, weather permitting, and it is the intention and hope that the work will be completed for pool opening on Memorial Day weekend. Board Members Jim Hulbert, Stephen Dacey, and Claude Lemieux will be managing the project. 3.3 The Board approved the carpet cleaning proposal from Best Qualified in the amount of $550. This will include cleaning of all carpets in the clubhouse, including the stairwell, and area carpets. 3.4 The Board agreed to proceed with Red Sandals Design to develop the website for The Neighborhoods at Woodland Pond. It is the Board’s goal to have a new Neighborhoods website up and running within the upcoming months. 3.5 The 2025 Annual Election is in the process of being worked on and sent to all owners of The Neighborhoods. 3.6 A discussion was held on the electric foyer heaters in the clubhouse. Some of the heaters appear to not always be functioning properly. The Association electrician, Lee Fetzner, has advised that the cost to replace each heater is $400 each, not including labor. Due to the age of the heaters, it is very difficult to find replacement parts. Management will reach out to Lee to inquire which heaters he feels need to be replaced at this time, in his expert opinion. 3.7 The Board agreed to bind Cyber Insurance Coverage for the annual cost of $260. Management will reach out to the master association insurance agent to bind coverage. The Neighborhoods at Woodland Pond
